This Notice explains how Havion Media AB processes personal data when you visit our websites, use our cookie settings, contact us, or interact with us in a business context. It also explains how cookies and similar technologies are used on the relevant site.

 

1. Scope of this Notice

This Notice applies to Havion Media AB’s own processing of personal data as controller in connection with the websites www.havion.se and www.havionmedia.com (together, the “Websites”), our cookie consent tools, and our business relationships with customers, agencies, suppliers, partners and other professional contacts.

This Notice does not describe all processing that may take place in customer campaign services, reporting or platform activity where Havion acts on behalf of a customer or where a third-party platform provider has its own privacy role and notice. Those situations are governed by the relevant customer contract, data processing terms and/or third-party partner terms.

2. Data Controller and Contact Details

Havion Media AB, reg. no. 559515-8352, is the controller for the processing described in this Notice.

3. Personal Data We Process
  • Business contact details and company information, such as name, business email address, telephone number, title, employer and role.

  • Communications and relationship information, such as emails, meeting notes, requests, proposal materials, order details, contracts and correspondence.

  • Administrative and billing information, such as invoice references, payment status and related accounting information.

  • Website, device and security information, such as IP address, browser type, technical logs, cookie preferences, consent records and usage information collected through cookies or similar technologies, where required consent has been obtained.

  • Limited marketing and business relationship information, such as a record of interactions with customers, agencies, suppliers, prospects and other business contacts.

Please do not send sensitive personal data to us through the Websites or by ordinary email unless we have expressly requested it and there is a clear legal basis and secure method for doing so.

4. Why We Process Personal Data and the Legal Bases We Rely On

We process personal data for the following purposes and legal bases:

Website operation and security: We process personal data to operate, secure and administer the Websites, including remembering cookie choices and preventing misuse. The legal basis is Havion’s legitimate interests. Where strictly necessary cookies or similar storage are used, they may also be used without consent where permitted by law.

Business communications and relationships: We process personal data to respond to enquiries, maintain business relationships and communicate with customers, agencies, suppliers and other professional contacts. The legal basis is Havion’s legitimate interests. In some cases, processing is also necessary to take steps before entering into a contract or to perform a contract.

Contracting and administration: We process personal data to manage proposals, agreements, invoicing, payment follow-up and related administration. The legal basis is performance of a contract, Havion’s legitimate interests, and compliance with legal obligations such as accounting requirements.

Website analytics: We may process personal data to measure and improve the Websites through analytics cookies or similar technologies. The legal basis is consent where required by applicable law.

Optional functional and marketing technologies: We may process personal data to use optional functional or marketing cookies, pixels or similar technologies. The legal basis is consent where required by applicable law.

Legal claims and compliance: We may also process personal data to establish, exercise or defend legal claims and to comply with legal obligations. The legal basis is Havion’s legitimate interests and compliance with legal obligations.

The Websites use cookies and similar technologies. Some are strictly necessary to make the site and its security functions work. Others, such as functional, analytics or marketing technologies, are only used where the relevant visitor has given consent through the consent management platform on the site being visited.

Havion uses Usercentrics as its consent management platform (“CMP”). The complete and current list of cookies and similar technologies used on each site, including category, provider, purpose and storage period, is presented directly in the Usercentrics CMP on the relevant site. Because the active technologies may differ between www.havion.se and www.havionmedia.com, the site-specific list displayed in the CMP is the governing list for that site.

  • You can reopen your choices at any time through the “Cookie Settings” link made available on the relevant Website.

  • Strictly necessary cookies may remain active where they are required for the Website or the CMP to function and where applicable law permits this without consent.

You can also control cookies through your browser settings. However, blocking necessary technologies may affect how the Websites function.

6. Who We Share Personal Data With
  • Providers of IT, hosting, cloud, communications, website, security and consent management services, to the extent necessary to operate our business and the Websites.

  • In relevant customer or partner flows, platform or technology partners may also receive personal data where there is a clear contractual and legal basis for such sharing.

7. Transfers Outside the EU/EEA

Havion seeks to store and process personal data within the EU/EEA where practical. Some service providers may nevertheless involve access from, support from, or transfers to countries outside the EU/EEA. Where that happens, Havion will use an appropriate transfer mechanism under applicable data protection law, such as the European Commission’s standard contractual clauses, and will apply supplementary measures where appropriate.

8. How Long We Keep Personal Data
  • Business contact data is normally kept during the business relationship and for a limited follow-up period afterwards.

  • Contracts, invoice documentation and accounting records are kept in line with legal requirements and internal retention rules.

  • Website, security and consent-related information is kept only for as long as necessary for the relevant purpose, configuration or legal requirement.

  • More detailed retention periods are maintained in Havion’s internal retention schedule.

9. Your Rights

Subject to applicable law, you may request access to your personal data, rectification, erasure, restriction, or object to certain processing. Where applicable, you may also request data portability and withdraw consent at any time for processing based on consent.
